Serenity Event Solutions’ professional team will work closely with you to determine your intentions, gather requirements, and identify special needs for your specific event. Communication is key and will play an integral part throughout the planning process. Serenity offers full or partial event planning as well as day of event coordination and can be involved with your pre, during, and/or post event planning!
Serenity is able to perform facility research, selection, contract negotiations and finalization of contracts, as required.
Serenity will coordinate for space assignment, room listings, room set up, meal selection and guarantees and all audio visual needs.
Attendee Management & Coordination
Serenity is available to maintain a database of invitees, prepare correspondence to invitees, conduct follow-up phone calls and correspondence, prepare name badge (for conferences) and manage attendee’s special needs.
Serenity is able to prepare correspondence to speakers, conduct follow up phone calls and emails, gather presentation materials and attend to speaker special needs.
Serenity can research, select and contract with transportation companies for your transport needs, overseeing your overall transportation operation.
Serenity will limit risk and plan for safety throughout the event process by using knowledge, preplanning and precautionary measures to help ensure effective and efficient events.
Serenity will provide services throughout the duration of your event, from the arrival of your first guest to the departure of your last, ensuring smooth and flawless execution.
Serenity will supervise event activities, staff registration tables, and distribute briefing books, badges and ‘serve as liaison’ with the venue.
Serenity will continue to monitor and limit risk during the event, implementing our risk assessment plan to reduce the impact of technical uncertainties to acceptable and manageable levels.
Serenity will remain available to obtain immediate feedback and direction for any modifications to be implemented during your event.
Serenity will perform final administrative actions to complete your event. This process includes expense reconciliation, reimbursement and billing, auditing of venue invoices and preparation of a final contract report.
Serenity will conduct an after-action review of your event providing feedback regarding the management and execution of your event from start to finish. This evaluation gives you, the client, and Serenity an opportunity to gain insight for improving the process for your next affair.
